Purpose and Overview

Miami's Information Security Office (ISO) offers the following guidance and considerations for navigating the use of AI in the classroom and in offices across our campuses. Miami University supports the use of Generative AI models: Google Gemini Chat, Zoom AI Companion, and Webex AI Assistant, all available for use with your Miami credentials.

Features:

Google Gemini Chat

  • Includes up to 1,000 prompts per user each month.
  • Access to Gemini Pro is not included in the standard license.
  • Users who need Gemini Pro may request it by submitting a software purchase request and providing a Workday Cost Center code.

Zoom AI Companion

  • Automatic meeting summaries
  • AI-generated answers to questions based on meeting transcripts
  • Smart recordings with highlights and action items
  • Whiteboard content generation

Notebook LM

  • Organize files into searchable notebooks
  • Ask questions about uploaded content
  • Generate FAQs from documents
  • Create audio summaries similar to podcast-style discussions

Web AI Assistant

  • Meeting summaries to help users catch up on missed information
  • Answers to questions based on meeting transcripts
  • "Be Right Back" summaries that provide updates after stepping away from a meeting

Service Boundaries and Constraints

  • Public Data Only: Sensitive information must not be entered into or used as the prompt in any part or total of a generative AI tool. AI tools should only be used with data classified as public.
  • Model Training Settings: When available, users should opt out of permitting the use of entered data for learning/training models.
  • No Expectation of Privacy: AI tools do not provide any expectation of privacy or confidentiality for any information used as input or prompt.

This service is available to:

  1. Faculty & Staff: Gain access to AI-powered tools that can improve productivity, streamline administrative tasks, enhance collaboration, and support teaching and research activities.
  2. Students: Gain access to AI tools that can assist with learning, studying, research, organization, and academic success.
