Google Workspace / Download data from your Miami account using Google Takeout

Objective

  • To provide information for how to download data from a Miami Google Workspace account (Drive, Photos) for moving to a personal Google account

Scope

  • By moving files out of a Miami Google Workspace account, users can free up space and make sure they are under quota
  • See the IT Services website for more information about quotas and Google Storage limitations

Resolution

Download Google data from your Miami account

  1. Make sure you are logged in to Google services with your Miami UniqueID and password
  2. Go to takeout.google.com
  3. Select the Google products you want to export (i.e., Drive, Photos, etc.)
  4. It is recommended that you leave everything checked, as this will give you a complete download of all your Google data
  5. Select Next Step
  6. Select whether you want to export your data one time or once every six months
  7. Select how you want to receive a copy of your data
  8. Send download link via email is recommended, as this will allow you to save a compressed copy of your data and transfer it to any number of other services
  9. Choose your file type
  10. Zip files can be opened by most computer operating systems
  11. Select how large you would like your export file to be (exports larger than this will be split into separate files)
  12. Select Create Export
  13. You will receive an email with your exported archive file once Google has finished processing it. The file is then yours to do whatever you want with

 

Move your data to a new location

Once you have access to your Google account archive, download that file to your computer and move it to one or multiple of the following:

Note: You will only have access to this file for seven days. After seven days, you will need to create a new archive export.
