Policy: Student information contained in the Miami Directory

Electronic Directory Privacy

The Miami University Directory of Faculty, Staff and Students, like the directories of other institutions, is accessible worldwide across the Internet.

Note: To preserve the privacy of students, faculty, and staff, the following data contained in the electronic directory is accessible ONLY by members of the Miami University community:

  • University-supplied data:
    • Division (staff, faculty)
    • Home address and telephone number 
    • (students, staff, faculty; if authorized)
    • School address and telephone number (students)
  • Optional individual-supplied data:
    • High schools attended
    • Mobile telephone number
    • Office hours
    • Other colleges attended

Requests for exclusion from the Directory

Miami has designed a policy for maintaining and administering student records.

  • Miami's policy is in compliance with the Family Education Rights and Privacy Act of 1974 (FERPA)
  • Educational records are defined as those educational records, files, and documents that relate directly to the educational progress of the student. These may include academic records, advisement records, discipline records, and placement records. You have the right of access to your records after presenting proper identification (your student ID card)
  • After reviewing your files, you have the right to challenge anything you perceive to be inaccurate or misleading
  • The University has a responsibility to protect students from the release of information about them to others without the student's consent. An exception to this is public information or directory information, which may be released without the student's consent. This includes the following:
    • Name, campus address, telephone listing, and campus email address
    • Place and date of birth
    • Major field(s) of study, including college, division, department, or program in which the student is enrolled
    • Enrollment status (undergraduate or graduate, full-time or part-time)
    • Dates of attendance
    • Degrees, scholarships, honors, and awards, including President’s List, Dean’s List, honorary organizations, and grade point average of students selected
    • Most recent educational institution attended
    • Photographic, video, or electronic images taken and maintained by the University
    • Participation in officially recognized student organizations, activities, and sports
    • Weight and height of members of athletic teams
  • If you do not want information about you included in the Miami University Directory, published at the beginning of each academic year, you can restrict it by completing the Directory Restrict Form and submitting it to the Registrar’s Office. This must be done on or before July 15. Your notification to restrict your directory information will remain in effect until you notify the Registrar’s Office in writing that you wish to rescind restriction of your directory information
