Manage room calendar viewing permissions / Google Calendar

Objective

  • How do I change viewing permissions for a room calendar in Google Calendar?
  • I have a room calendar for which anyone can see the details of events scheduled — I want details to be visible only to a select group of people

Resolution

  • Note: You cannot set room calendar viewing permissions without creating custom settings for each person; however, you can edit specific user permissions
  1. Click the three dots to the right of a calendar and choose Settings and Sharing
  2. Click Share with specific people in the left navigation pane
  3. To the right of the user email address under Permission Settings, choose the drop-down tab
  4. Make the appropriate selection from one of the following
    • See all event details (default)
    • Make changes to events
    • Make changes and manage sharing
    • See only free/busy (hide details)
  5. Click Save
  6. Users with whom you shared the calendar will receive an automated email informing them of the permissions change
