Transfer files securely via Filelocker

Issue/Question

  • Which provides more secure transfer, Google Drive or departmental share?
  • How can I securely transfer files with other people?
  • How do I share files in Filelocker?

Environment

  • 10248: Filelocker
  • File Storage & Sharing

Rationale

  • Your departmental share is more secure than Google Drive
  • For securely transferring files, Miami University IT Services recommends using Filelocker

Resolution

Share files with Miami faculty, staff or students

  1. Log in to Miami's Filelocker portal
    • Use your UniqueID and MUnet password
  2. Upload or locate the file you want to share
  3. Click the name of the file to expand the menu
  4. Click the Share This File button
  5. In the pop-up box, search for users by UniqueID or by name; a drop-down selection box will appear with matching results so that you can select the correct user
    • Sharing with a group: Create a group and add members to the group; then click the Share with Groups tab
  6. By default users, will be notified by email that you have shared a file
    • You can deselect the checkbox, if desired
  7. Click Share

Share files with individuals outside of the University

  1. Log in to Miami's Filelocker portal
    • Use your UniqueID and MUnet password
  2. Upload or locate the file you want to share
  3. Click the name of the file to expand the menu
  4. Select the Public Share checkbox
  5. Enter the email addresses for individuals to receive a link to the file you are sharing
    • Separate multiple addresses with commas
    • Default settings permit the share to expire after one use
    • If you want to allow multiple file downloads, specify a password to be entered before the file can be downloaded
      • Be sure to advise intended recipients of this password through some other secure means (phone, encrypted email, etc)
  6. Click the Share button
    • A publicly accessible URL to download the file will be created and displayed
      • To view or copy the publicly accessible download link at any time, expand the menu next to the file name and click (view link)
    • Email recipients will receive a notification that the file is now available at the generated URL

Note

  • Filelocker is an open source program created by Purdue University. Miami faculty, staff, and students can use Filelocker to conveniently and securely share files with other people both on and off campus
