Procedure: TDX / Grant viewing permissions or access to a report

Purpose

  • To provide instruction on granting permission to view a report in TeamDynamix

Rationale

  • TeamDynamix has three levels of visibility for reports:
    • Global: All signed-in users can see the report
    • Owner: Only the user who created the report can see it
    • Share with groups/people: Users included the list of a selected group
  • Only the report owner may grant viewing permissions to a report. As of Fall 2023, reports can now be owned by a group, in which case any member of that group may edit the report or share it.

Procedure 

  1. Access the production TeamDynamix interface
  2. Locate the report 
  3. Click on the title of the report
  4. Click the Action button
  5. Select Edit from the drop-down
  6. In the report editor, scroll down to the Set the visibility of this report section
  7. Select from the following options:
    • Owner: Visible to anyone in the group or if a single person, visible to only that person
    • Owner and people in these Groups (recommended): This option makes the report visible to the users listed in selected groups and allows them to run the report, make copies, etc; use the magnifying glass icon in the search field to search for people / groups if you do not already know the name.
    • Everyone with this Application (not recommended): This option makes the report visible to all signed-in users; use sparingly to avoid cluttering other people's list of report
  8. If you want the report to appear in the left hand navigation, leave the box unchecked
  9. Click the Save button 

Notes

The option "Do not show this report in the navigator" determines if the report appears in the left-hand navigation. If you have a lot of reports and you always include everything in the left hand navigation, it can become unwieldy. If the report will be access from a desktop, we recommend checking this box to remove it from the left hand navigation. The left-hand navigation should be reports that you use regularly and do not appear on a desktop.
