Google Drive / Pending Delete label and Shared with Me files

Objective

  • To provide information about the Pending Delete label in Google Drive

User

  • Miami University faculty, staff, and students

Scope

  • Some files and folders in Google Drive have a Pending Delete label next to the title, both within specific documents and in the Google Drive file Details window
  • Pending Delete will appear on documents that have been shared with you that are owned by a Miami user whose account will soon be deleted. This includes alumni who have graduated in the last 180 days; former students who have left the university within the last 180 days; and staff and faculty who have left the university within the last 45 days
  • For information about Miami accounts and when they expire, refer to Miami Account / Expiration

  • 10259: Google Drive - My Drive
  • 1062204: Google Drive - Shared Drive

Instructions 

Some files and folders in Google Drive have a Label named Pending Delete next to the title. These files have been shared with you by someone whose account will be deleted soon.

 

If you want to keep this information

  • Please make a copy of the file or folder by following the instructions in this Google support article: Create, view, or download a file, or
  • Contact the owner of the document and ask them to transfer ownership to you (this option only applies if the person [faculty, staff, or student] has very recently left the university). Refer to: Miami Account / Expiration

 

If you do not need the information

  • Feel free to disregard the label

 

Find Shared With Me files that have the Pending Delete label

  1. Follow the instructions in this Google support article: Find files shared with you in Drive
  2. Open the Advanced Search and choose Pending Delete from the Labels drop-down
  3. Select a person with an email address that starts with former- and determine whether the files need to be kept
  4. Repeat for each person with former- in your list
