Edit room calendar viewing permissions

Issue/Question

  • We have a room calendar that anyone can see the details of events scheduled on; I would like details to be visible only to admins
  • I need to edit viewing permissions for a room calendar

Environment

  • 10257: Google Calendar 
  • Room Calendar
  • Events & Room Scheduling

Rationale

  • You cannot set room calendar viewing permissions without creating custom settings for each person; however, you can edit specific user permissions

Resolution

  1. Click the down-arrow to the right of a calendar and choose Share This Calendar
  2. Under Share with specific people, go to the email address of the user whose permissions you want to change
  3. To the right of the user email address, under Permission Settings, choose the drop-down tab
  4. Make the appropriate selection from one of the following
    • See all event details (default)
    • Make changes to events
    • Make changes and manage sharing
    • See only free/busy (hide details)
  5. Click Save
  6. Users with whom you shared the calendar will receive an automated email informing them of the permissions change
