SOP #751: Computer Hardware Replacement Plan

Purpose and Scope

The purpose of this document is to define procedures for the replacement of computer hardware in the Physical Facilities Department.  "Computer Hardware" generally refers to desktop computers, laptops and tablets.

Policy

This policy will apply to all PFD personnel in all areas of the Miami University campus who have the use of a computer-based hardware device in any capacity.

Procedure

Computer hardware should be kept until failure.

If any of the following is true, then the computer hardware MAY be considered for replacement.

  • The system no longer complies with Miami University guidelines as established by IT Services.
  • The system is no longer able to run all of the PFD required applications.
  • The system has high maintenance costs.

The appropriate PFD division or section is responsible for the cost of the upgrade or replacement unless instructed otherwise by the PFD Associate Vice President.

PFD divisions replacing computer hardware must comply with existing procurement policies and purchasing methods.  Printers and copiers may not be purchased without the approval of the PFD Associate Vice President.

There may be circumstances where a workstation does not meet all of the above qualifications and still be used in PFD in a limited use role.  For example, the workstation is only used for E-Mail or Web research.  PFD divisions replacing computer hardware should make old, but functioning, computer hardware available to other PFD divisions prior to disposal.
