Body
Purpose and Scope
To formalize a department policy to ensure accountability for all time reported by Physical Facilities classified employees.
Policy
All Physical Facilities Department classified employees are required to use TCP to clock in upon arrival at work and to clock out at the end of each workday. Classified employees who complete work orders are also required to log their time worked on each individual work order using the TMA system. This policy covers both straight time and overtime.
Procedures
TCP Time Reporting: Classified employees can tap their ID at a TCP time reporting station, use a Miami University computer or use the TCP Mobile App to clock in and clock out for a given work day. Clock ins and outs on the TCP Mobile App must be done from your designated work location. All classified employees reporting for work are required to clock in and out using TCP. Employees will be expected to approve the accuracy of their timecards in the TCP system at the end of each week, and no later than 9:00 am every Monday morning. Time cards not approved by the employee are presumed to be accurate.
TMA Time Reporting: Classified employees who complete work orders must also enter time worked, comments, and an appropriate status on a given work order immediately following the completion of the work order or before moving on to the next assignment. This time and information is entered through the TMA system. If a work order spans multiple days, time is recorded each day at the time the employee is finished working on that particular work order for that particular day. Employees issued an iPad must use their iPad with installed TMA software to report their time worked. Each iPad will be installed with an employee time check app to allow verification that time is entered correctly.
Time Not Associated With A Work Order: Routine activities, break time, vacation, sick leave, administrative time and any other time not directly associated with a work order is entered into TMA with a note. This time should be entered into TMA at the time of occurrence or, in the case of absences, immediately upon return to work.
Time Reporting Issues: Employees experiencing time reporting issues must immediately report these to his or her supervisor. Supervisors unable to resolve time reporting issues should immediately contact the Administrative Assistant in the front office.
Time Reporting Responsibility: It is the responsibility of the employees to accurately report all time into TCP and TMA as outlined in this SOP. Supervisors are directly responsible for the accuracy of time reporting for their employees. It is the responsibility of employee supervisors to enforce this SOP.
