Procedure: Google Drive / Change ownership of repository folder

Objective

  • To provide instruction on coordinating a change in ownership of a Google Drive folder/file

Scope

  • The Application-System Representations repository should contain folders and documents that are owned only by Miami University Enterprise Architect, not individuals or ex-staffers who are no longer with the University

Environment

  • 10259: Google Drive - My Drive
  • 1062204: Google Drive - Shared Drive
  • 10374: TeamDynamix (TDX)

Procedure

  1. Create a Google Sheet list that contains the following information:
    • Current owner of the file
    • Email address of the current owner (UniqueID format)
    • Type of file (folder, doc, sheet, slides)
    • Did you (the requester) previously have permission to the file?
    • File name
    • File URL
    • Prospective owner of the file
  2. Share the list with ISO and Windows groups or individual team members, if known
  3. Create a TDX change (normal) ticket
  4. Include the following description and create the appropriate tasks:
    1. Security team must seek approval from Human Resources to change ownership of folders and docs that are owned by staffers who no longer work for Miami University: (names to be replaced) 
    2. Upon HR/ISO approval, Windows team must change ownership of folders and docs from ex-staffers to Miami University Enterprise Architect
    3. Upon completion, Knowledge Management must change ownership of individual docs from individual owners to Miami University Enterprise Architect
  5. Attach list to the ticket
  6. Submit the new ticket
