Standard: Storage of electronic equipment awaiting recycling

Purpose

The purpose of this Miami University Physical Security Standard is to provide guidelines for the secure storage of electronic equipment belonging to Miami University that is awaiting recycling. This standard aims to prevent unauthorized access, theft, and damage to the equipment.

Scope

This applies to electronic equipment owned by Miami University that store data and are no longer in use and/or awaiting recycling.

Standards

Secure Storage Area

All electronic equipment awaiting recycling must be stored in a secure area. This area should be locked and only accessible to authorized personnel using a card swipe.

 

Inventory Management

An inventory of all equipment awaiting recycling should be maintained. The inventory should include details such as the type of equipment and serial number.

 

Access Control

Access to the storage area should be strictly controlled. Only personnel who have a legitimate need to access the equipment should be granted access. 

 

Auditability and Accountability

The storage area access should be logged and time stamped to detect unauthorized access. All access to the storage area should be logged for audit and accountability purposes.

 

Disposal

When equipment is ready to be recycled, it should be disposed of in a secure and environmentally friendly manner. All data should be securely wiped from storage devices before they are recycled or by the recycling vendor with positive confirmation from the vendor that it will be done.

Standard Review

This standard will be reviewed annually or as needed to ensure it remains relevant and effective.
